A quote carries information that other teams need to turn an opportunity into a job and, eventually, an invoice. For one commercial contractor, keeping that information moving meant carrying details by hand between Act!, spreadsheets, forms, email, and QuickBooks.

Hypha moved the contractor’s CRM processes into HubSpot and built a connected path through estimating, quoting, job setup, and invoice requests. The work addressed both how each team handled its part of the process and how information passed to the next person.

Where the Handoffs Were Breaking Down

The contractor managed several project types alongside a seasonal snow business. Estimators had limited visibility into which quotes needed follow-up, and older opportunities in Act! were difficult to manage. As work moved from sales into operations and accounting, staff had to transfer information between systems.

Similar customer and project names added another complication: Job or invoice information could end up associated with the wrong record. With details spread across tools, it was difficult to see where a job stood and who was responsible for the next step.

The build needed to make those handoffs easier to manage, with shared CRM data and a clearer process for each team.

Preparing the Data for a Connected Process

The migration involved a structural challenge. Older Act! opportunities weren’t organized consistently with the new CRM, so moving the data required cleanup and decisions about how records should relate to one another.

During a re-import of contacts and companies, Hypha disabled data enrichment to prevent unwanted overwrites. Company duplicates with differing addresses needed individual review to determine whether they represented the same business or separate locations.

Contact-to-company associations also needed attention. Some email domains didn’t align with company names, including cases involving different divisions of a firm. The team identified these mismatches as a cause of missed associations and planned to carry over the “Formerly of” field from Act! to help preserve employment history and guide duplicate review.

These details mattered beyond the migration itself. The quoting and accounting processes would depend on people working from the right customer and project records.

Building Quoting Around the Estimators’ Work

Hypha configured separate pipelines around the teams’ processes and built custom quoting functionality using HubSpot quotes and the product library. Reusable product and scope information supported quote preparation, while follow-up automation gave estimators a more structured way to manage opportunities.

The quoting requirements evolved significantly after the initial build. Supporting the contractor’s process took several rounds of technical changes, with quoting remaining one of the most involved parts of the implementation.

That work formed the first part of a broader operational path. The information captured during sales and estimating also needed to support job setup and the eventual handoff to accounting.

Giving Accounting an Organized Request Queue

Hypha established a job number process for new work and created an Invoice Request custom object associated with deals. Instead of relying on individual form submissions, accounting received a sortable working view of invoice requests in HubSpot.

This was also where record selection mattered. Similar customer and project names made it important to design the process around reducing user error, so job and invoice information could be associated with the correct records.

Sales and accounting could now work from shared CRM data, with invoice requests organized into a queue that accounting could review and process.

Supporting Seasonal Customer Communication

The contractor’s snow business brought a different operational need: reaching the right customers quickly before weather events.

Hypha created snow-client segmentation and processes for that communication, giving the team a way to address seasonal customers within the broader HubSpot setup.

Case Study - Key Takeaways
Key Takeaways What we built, and what it shows.
Migration Act! history moved over with duplicates merged and a “Formerly of” property that keeps contact history intact.
Quoting Custom quotes on HubSpot quotes and a reusable product and scope library, refined over several rounds after the first build.
Error-proofing Operations processes designed so the wrong record is hard to pick when customer and project names look alike.
Handoff An Invoice Request object on deals gives Accounting a sortable queue in place of scattered form submissions.
Result Sales and Accounting work from the same CRM data, from opportunity through invoice request.

What Changed

The contractor now has a more connected path from opportunity to estimate, quote, job setup, and invoice request.

Estimators have structured follow-up, and sales and accounting can work from the same CRM data. Accounting can process requests from an organized queue instead of searching through individual form submissions. Leadership also has better visibility into the sales pipeline and the handoff into operations.

The result is a CRM configured around how work moves through the business, with each team’s process connected to the information the next team needs.

Connect Your Sales and Accounting Handoffs

If your quoting process needs a custom setup, or your team still moves job and invoice details between a CRM, spreadsheets, and forms by hand, Hypha can help map the handoffs and build a process around how your teams work.
